DESCRIPTION: Sr. Manager Conference Finance Services

We are seeking a Sr. Manager of Conference Finance Services. for our TAD/ Conference Services department in Piscataway, NJ who will manage conference financial staff and all aspects of IEEE Sponsored/Co-Sponsored Conference financials for Societies, Regions, Sections & Chapters in accordance with IEEE Policy.   

RESPONSIBILITIES:

1) Resource Management: Supervises daily activities of conference Financial Analysts. Monitor IEEE Conference loans, surplus, bank accounts. Monthly reconciliation of credit card processing transactions and conference administration/penalty fees.  Review and approve conference journal entries and reconcile conference accounts to the general ledger.  Interface with external auditors regarding conference revenues and expenses.  Policy and Process Management and Refinement.  Oversee the conference financial operations processes of IEEE Conference Services – budgeting, forecasting, actuals, accrual, VAT taxes, etc. Develop working knowledge of IEEE’s Conference databases, policies and procedures, providing recommendations to revise existing processes and documentation (or create new) that will improve IEEE’s internal control environment. Coordinate and prepare financial content including policies, procedures, financial and other schedules for the web based Conference Organizers manual.  Coach, mentor and assist fellow team members to establish a consistent level of quality, accuracy and compliance to departmental standards, governmental requirements and internal controls.  Continuously seek opportunities to work with Conference Line of Operations staff (Conferences, Publications, Business Administration, Computer Society, Communications Society, etc.) to alleviate redundancies and/or gaps in financial operations processes.

2) Data Integrity: Ensure data integrity of IEEE conference financial information - budgets, final financials, approvals, loans & audits.

3) Volunteer Relationship Management: Work directly with Volunteers and the IEEE Conferences Committee on both regular business and special projects, and is under the general guidance of the Staff Director, Meetings and Conferences.  Prepares and presents materials for IEEE Conference Committee and other workshops. Interpretation of policies for Society Officers and conference volunteers.  Serve as liaison to IEEE organizational unit financial staff and volunteers, providing assistance as needed for conference financial questions. Provide back up administrative support for IEEE Conferences Committee

4) Metrics and Measurements: Research, innovate and propose metrics, analyses, tools or process changes to highlight and resolve issues and improve IEEE Conference Services operations. Develop, prepare and disseminate/present (Excel, PowerPoint, Word, etc) strategic information including statistical reporting and analysis of IEEE Conference finances and related services, support programs and projects.  Manage special projects,  AdHoc analysis, and team participation as requested by staff or committee members.

5) Some travel may be required (less than 5%) 

QUALIFICATIONS:

* Bachelor's degree in Finance, Accounting or Business required

* 5 - 7 years budgeting, forecasting, audit and/or accounting experience

* CPA and/or Auditing experience strongly preferred

* Prior supervisory experience preferred

* Experience with automated financial systems including Oracle financial applications

* Proficient and experienced with analyzing and presenting data in Excel (charting, advanced formulas, etc) and PowerPoint

* General knowledge of IEEE and the scope of its Conference business

* Excellent time and project management skills, dedication to detail and the ability to work under pressure in a deadline driven environment

* Must have strong negotiation skills with suppliers

* Ability to build and maintain strong relationships

* Operate comfortably in a progressive electronic environment, with an emphasis on web development, e-mail, and Microsoft Office applications

* Ability to plan, execute and improve work processes to ensure conference objectives are achieved

* Must be familiar with hotel/convention center policies, operations and basic procedures

* Experience with international customs, banking, and tax regulations
